Insurance Premium Tax Rate Increase

Please note: This only affects you if you are an insured remover!

Update 0.0.0.1524 of Move Administer, which contains the magical IPT rate increase process, is now available.

You will need to update your IPT rate from 6% to 9.5% prior to you performing your November invoicing run (so if you are behind with your storage invoicing you must catch up before doing this), and it is advised that this is done as close to November 1st as you can. It is also advised that this is done on your Server as it will execute much quicker. Should you want us to perform this, either inside or outside of office hours, then please do not hesitate to contact us, we have put aside time on Sunday November 1st and are available most evenings between now and then.

Should you want to start quoting IPT at 9.5% then I would suggest that you create a new IPT Tax code (Tools -> Options -> Accounting -> Tax Codes) to use in the interim, which after November 1st you can mark as deleted. If after November 1st you need to charge IPT at 6% then again I would advise that you create a new IPT Tax code to again use in the interim.

You can increase your current default IPT rate to 9.5%, however, please bear in mind that any new quotations, storage or self storage will contain IPT at 9.5% and if the removal or storage takes place before November 1st then IPT is at 6% – You have been warned!

Instructions

To update your Services, unaccepted Quotations, unaccepted Quotation Services, current Storage and current Self Storage please follow the steps below, religiously:

  1. Have everyone exit Move Administer, so you are the only user logged in
  2. Change the IPT Rate for your default IPT Code (Tools -> Options -> Accounting -> Tax Codes)
  3. Run the IPT Rate Adjustments (Tools -> VAT/IPT Rate Adjustments)
  4. Once complete, everyone can log back into Move Administer

Please note: If you have storage clients invoiced in arrears then please ensure that once you have done your invoicing run for November that you run the instructions above once again, ignoring line 2, to increase the IPT rate for those invoiced in arrears – It is vital you do this!

Insurance Premium Tax Change

Please note: This only affects you if you are an insured remover!
 
I am sure you are well aware the Insurance Premium Tax rate increases from November 1st from 6% to 9.5%. Having been in consultation with Basil E. Fry & Son and HMRC recently, running through a variety of examples, I am pleased to announce that an update to Move Administer will be released on Monday to ease the pain of this increase.
 
From my consultations I have found the following:
Removals
If you invoice your removal customer in October for an October move then the IPT rate is 6%.
If you invoice your removal customer in October for a November move then the IPT rate is 9.5%.
If you invoice your removal customer in November for an October move then the IPT rate is 6%.
 
Storage
If you invoice your storage customer in October for October then the IPT rate is 6%.
If you invoice your storage customer in October for October to December then the IPT rate is 6%.
If you invoice your storage customer in October for November then the IPT rate is 9.5%.
If you invoice your storage customer in November for October then the IPT rate is 6%.
 
The general rule is that the rate of IPT is decided upon the commencement of the contract and not the date/tax date of the invoice. There will be the odd caveat to be aware of which will be highlighted in our forthcoming instructions.
 
Move Administer already has a VAT/IPT Adjustments process on the Tools menu, however, minor tweaks have been made to ensure only the IPT is affected. When the process is executed the IPT rate will increase for all Services, unaccepted Quotations, unaccepted Quotation Services, current Storage and current Self Storage. With regards to Services, Quotations and Quotation Services the totals will be recalculated accordingly.
 
HMRC have also confirmed to me that if you are quoting in October for removals taking place in November then you can quote IPT at the new rate of 9.5%. Therefore, I would recommend you create a new tax code (Tools -> Options -> Accounting -> Tax Codes) and set the rate at 9.5%. Your default IPT code will remain at 6%, but if you know the customer is moving after November 1st you can change the IPT code from within the quotation itself, also remembering to change it on any additional service you may be charging insurance and therefore IPT.

Import into Archive Administer from a CSV file!

Archive Administer can now import items and contents from a CSV (comma separated values) file, which can be created from an Excel Workbook sent from a customer, saving hours of input time and possible typing errors.

To do this you will need to layout your 9 Excel Workbook columns into the following order:

REFERENCE, STATUS, STORAGEMEDIUM, CATEGORY, NOTEPAD, KEYWORDS, CONTENTSTATUS, CONTENTNOTEPAD, CONTENTKEYWORDS

Please note the following about the above columns:

Column A – REFERENCE – Maximum of 25 characters – Must exist for any of the data to be imported. If the reference already exists then only the content information for the item will be imported.

Column B – STATUS – Maximum of 3 characters – Can be In or Out, however, if left blank then the default Status will be used (Tools -> Options -> Defaults -> Archive -> General Tab).

Column C – STORAGEMEDIUM – Maximum of 10 characters – Can be any of your Storage Medium codes (Tools -> Options -> Archive Storage -> Storage Mediums), however, if left blank then the default Storage Medium will be used (Tools -> Options -> Defaults -> Archive -> General Tab).

Column D – CATEGORY – Maximum of 10 characters – Can be any of your Archive Category codes (Tools -> Options -> Archive Storage -> Categories), however, if left blank then the default Category will be used (Tools -> Options -> Defaults -> Archive -> General Tab).

Column E – NOTEPAD – Maximum of 250 characters

Column F – KEYWORDS – Maximum of 100 characters

Column G – CONTENTSTATUS – Maximum of 3 characters – Can be In or Out, however, if left blank then the default Status will be used (Tools -> Options -> Defaults -> Archive -> General Tab). Please note that if the Content Status is different to the Item Status then the Item will be updated to reflect that Contents are both In and Out.

Column H – CONTENTNOTEPAD – Maximum of 250 characters

Column I – CONTENTKEYWORDS – Maximum of 100 characters

Important! – None of the columns above should contain a comma as these are used a column indicators – You have been warned!

I would suggest that Row 1 of your Excel Workbook be laid out in this manner while you move your Workbook data to the appropriate columns (I would also ensure you remove this row before you Save the Workbook otherwise you will import an Item called REFERENCE with a Content too!).

Once you have laid out your Workbook simply save it as a CSV file, and it must be a CSV file in order for it to be imported. This is an option in Excel when you go to do a Save As, and is usually found in the Save as type field, just below the file name field.

To import simply open the customer in Move Administer, and choose Actions -> Archive Storage -> Items. From the Archive Items Browse simply choose Actions -> Import CSV. You will then be prompted to locate the CSV file to import and once chosen the import process will begin. Once complete a window will appear informing you of how many Items and Contents have been imported successfully.

You now have the option to print the words ‘Not exceeding’ when printing the volume on any paperwork, such as quotations, crewsheets, waybills, invoices, etc.
ADDED: You can now set to print ‘Not exceeding’ when printing the volume for a removal by checking ‘Print ‘Not exceeding’ on volume’ (Tools -> Options -> Defaults -> Removal -> General tab)
ADDED: You can now set to print ‘Not exceeding’ when printing the volume for storage by checking ‘Print ‘Not exceeding’ on volume’ (Tools -> Options -> Defaults -> Storage -> Quotation tab)
CHANGE: You can now set the default Payment Method to blank in Accounting Defaults (Tools -> Options -> Defaults -> Accounts), which will result in the default method being blank when entering a payment or refund and therefore force the selection of the method from the drop down
